Reporting World Introduction

Millennium Explorer>Reporting

Important! For sites utilizing the Microsoft SQL Server database engine: If the 'Auto Shrink' Microsoft SQL Server database option is enabled, it may degrade performance and may cause Abila Millennium utilities and reports to 'hang'. It is recommended that this option be disabled, and that database shrinking be handled manually. The database administrator must disable Auto Shrink from within SQL Server. For instructions, refer to the Abila Millennium Installation Guide, "Installing the Web Server (IIS) and Database Server."

The Reporting World in Abila Millennium provides access to most of the functions related to the process of retrieving information from the data tables that are viewed and maintained in either the Profiles World or the Event World.

There are some additional, standard reports that are available outside of the Reporting World:

• From within the Profiles World, the Profile Reports are generated on-demand by clicking a menu item. They show data for a single constituent - the one whose data is displayed at the time that the report is generated. These reports are automatically displayed and may be printed from the display.
• From within the Events World, the Events Reports are generated on-demand by clicking a menu item. They show data for a single Event or a single Activity associated with that Event. These reports are automatically displayed and may be printed from the display.
• On Demand reports are available from within My Millennium. Access the My Millennium On Demand Reports by using Millennium Explorer, My Millennium>Reports. Access to these reports can also be added to your Home Page. The reports are generated by clicking one of the report name hyperlinks shown in the On Demand Reports display.
• From within Favorites, the My Staff and My Prospect On Demand Reports are generated, on-demand, by clicking a Reports button. They show data about a group of prospects or prospect managers that are related to the constituent whose Abila Millennium record is associated your User ID. The following items are available in the Reporting World. Each of these items is organized under separate branches of the Millennium Explorer, under Reporting.:

• Visual Analyzer: access your standard and customized Visual Analyzer documents - these documents deliver a dashboard overview and detail drill downs into your Abila Millennium data. Your site must be licensed to use the Visual Analyzer, and you must be granted QlikView user status through User Maintenance.
• Express Reports: access all the Express Reports that have been created for your User ID. From this area, you can either view the formatted report results, or launch one of your Express Reports.
• Search Reports: quickly locate saved report criteria, and edit or run it directly from the Search Reports page. Quickly locate a published report to view it directly from the Search Reports page. Or generate a list of your site's saved and published reports and display it on one screen.
• A published report is one that has been formatted and sent to either the HTML or PDF destination for later viewing through Millennium.
• View Report: access the formatted results of the run of a report that were published in HTML or PDF format for on-screen viewing.
• Run a report: access an existing set of criteria and launch its run. It will then locate the desired data rows from the database, build the export worktable, and launch the action of the formatter. The results may be published in HTML format for online viewing, sent to a printer for hard copy distribution, exported from Crystal using a Word doc format or Excel format, or saved as an export worktable for a purpose of your choosing.
• New Criteria: access the area of reporting used to create new criteria. Criteria is a set of selection statements and various report options, that define a set of data rows from the database. Those rows will be identified in a worktable, which is used by the 3rd party formatting software to present the desired information in the form that is most meaningful for viewing. This process may begin with one of the standard Abila Millennium report templates, or you may create a set of criteria "from scratch", beginning with your own set of default options.
• Edit Criteria: access a set of criteria that has been previously created and saved, and make edits to the statements or options.
• Q Management: access the Abila Millennium Queue. The Queue is the reporting component that administers the timing and order in which reports are executed. You can check or edit the list of reports that are either running or are "lined up", awaiting the appropriate time to begin their run, at the various Queue computers that have been established at your institution.

Report Libraries

Within the Published Reports and the Criteria functions in the Reporting World, the components that are used (templates, stored report criteria to be edited or run, or the results of the run of the report) are organized into report libraries, according to the purpose of the report. For example, reports whose purpose is to generate mailing labels will be found in the Mailings library. Another that shows the details of the Annual Fund this year in relationship to the same fund last year would be located in the Comparison library. An understanding of this organization is important in order to efficiently store, locate, and access the reporting component you need. (Note that the standard report templates are placed into the libraries by Abila Millennium. Any criteria that you create, save, retrieve for editing, running or viewing may be placed into any library that you choose.)

The report libraries and the expected contents are:

• The Biographical library includes questionnaires, roster, phone number, and directory listings, employment reports, etc.
• The Comparison library includes annual, monthly or any other time period comparison of giving, based on any number of other factors such as account number, campaign, fund, constituent type, region, district, zone, state, preferred year, tender, etc.
• The Daily library includes acknowledgment letters, receipts, departmental notification, transmittals, batch reports, etc.
• The Events library includes financial, attendance, or other participation reports based on Event or Activity information in the Events World.
• The Financial & Giving library includes transaction details, transaction summaries, LYBUNT reports, honor/memorial donors, class agent details, matching gift info, Phonathon, solicitation reports, Sage Payment Solutions credit card and bank draft processing, etc.
• The Mailing library includes envelopes, gift tickets, and labels in any configuration, etc.
• The Membership library includes dues monthly reports, membership expiration, annual membership, membership comparisons, membership cards, etc.
• The Pledge library includes cash forecasts, pledge comparisons, delinquent pledges, pledge bill reminders, pledge receipts, pledge status reports, etc.
• The Tracking library includes donor recognition lists, contact tracking, cumulative giving, moves, prospect indices, prospect management reports, prospect screening, top 100 cumulative reports, etc.
